This Privacy Policy describes how we collect, use, and safeguard your information.

Student Information: Names, student IDs, program enrollment, attendance records, and evaluation scores.

Educator/Staff Information: Names, email addresses, organizational roles, and activity logs.

Contact Information: Designated contact names, emails, and phone numbers associated with students.

Usage Data: Login activity, feature usage, and audit logs for security and compliance purposes.

Google sign-in

If you choose to sign in with Google, PES requests your Google account identity, email address, and basic profile information through the openid, email, and profile scopes. We use this information to authenticate you, associate you with your PES account, and maintain account security. Our authentication service provider processes Google sign-in on our behalf. This sign-in connection does not request access to your Gmail messages, Google Drive files, or Google Calendar.

Information received through Google sign-in is handled under the data-sharing, security, and retention practices in this policy. You can remove the PES connection in your Google Account’s third-party connections settings. Removing that connection does not itself delete your PES account or your organization’s records. To request access, correction, or deletion of PES account information, contact your organization’s administrator or sysadmin@evaluationsolutionsllc.com.

3. How We Use Your Information

Information collected is used solely for the following purposes:

Facilitating student evaluations, goal tracking, and progress reporting.

Enabling communication between coaches, educators, and student contacts.

Generating reports and analytics for program improvement.

Maintaining platform security and complying with applicable laws.

4. Data Sharing

We do not sell or rent personal information to third parties. Data may be shared with authorized personnel within your organization (e.g., coaches, administrators) and with service providers strictly necessary to operate the Platform. Any such providers are bound by confidentiality obligations.

5. FERPA Compliance

To the extent applicable, this Platform is designed to support compliance with the Family Educational Rights and Privacy Act (FERPA). Student education records are accessible only to authorized school officials and are protected in accordance with FERPA requirements.

6. Data Security

We implement industry-standard technical and organizational measures to protect personal information against unauthorized access, disclosure, alteration, or destruction. Access to data is role-based and limited to authorized users only.

7. Data Retention

We retain personal information only for as long as necessary to fulfill the purposes outlined in this policy or as required by law. Organizations may request deletion of their data by contacting their system administrator.

Users and authorized representatives may request access to, correction of, or deletion of personal information. Please contact your organization's administrator or reach out to us directly to exercise these rights.

We may update this Privacy Policy from time to time. Users will be notified of material changes. Continued use of the Platform after changes constitutes acceptance of the updated policy.
